Job Description

Due growth and customer demand we are currently recruiting for a Talent Acquisition Operations Specialist to join our team in Joliet, IL.


As part of the Global Talent Acquisition Team, you will report directly to the Manager of Global Talent Acquisition Operations and will primarily be responsible for ensuring a consistent internal and external user experience, technology engagement, process documentation, data analysis, and vendor management. You will also provide support to our University Relations Team as needed.


  • Support the management of key projects with minimal supervision and exemplary follow-through

  • Coordinates the production of dashboards and status reports

  • Analyze data to determine performance and investment effectiveness

  • Work with a collaborative, fast-paced and demanding team, while constantly being challenged to be a dynamic and fundamental member

  • Manages process improvement efforts

  • Document procedures and support creation of process and policy documentation

  • Supports change management and communication efforts for projects, may include development of communication materials

  • Data-entry and reporting – being responsible for candidate and intern/co-op tracking across all systems, and ensuring reporting is accurate and complete.

  • Provide overall administrative support for team attending campus events when requested

  • Planning logistics for all on-campus events (i.e. invites, coordinating food, maintaining booth/collateral), interview days

  • Processing invoices, expense reimbursement, arranging travel plans

  • Scheduling, tracking and troubleshooting all interviews (on-campus, virtual, and on-site), solicitation feedback, maintaining candidate information/feedback in our Applicant Tracking System

  • Acting as a liaison with candidates and hiring managers to coordinate seamless on-campus experience

  • Assist candidates with the application processes and questions

  • Must be willing to complete hands on, tactical deliverables and support strategic thinking

  • Assisting with ad-hoc projects as requested


  • 1-3 years professional experience (recruiting, HR preferred)

  • Exceptional multi-tasking, coordinating, and organizational skills with high attention to detail

  • Ability to build relationships

  • Excellent communication skills with a customer service mindset

  • Experience analyzing data

  • Advanced Excel skills (advanced formulas, pivot tables, look ups)

  • Ability to communicate and collaborate effectively

  • The ability to plan and execute innovative, creative, and strategic events that will be key to sourcing top students

  • Familiarity with Outlook Scheduling

  • Experience with an ATS system preferred (BrassRing, Taleo, SuccessFactors)
