The HR Coordinator is responsible for the creation, maintenance, and accuracy of employee records in various HRIS systems. He/She will be conducting employee orientations, participate in local and global HR projects and administrative duties.


  • Create and maintain employee files and records by accurately completing forms and informing employees and candidates of options to comply with company, country and federal regulations.

  • Assist employees with record changes and company policies by providing policy information when requested to keep employees accurately informed.

  • Communicate information on job and personnel data if required.

  • Maintain employee relations and benefit programs and be first point of contact with insurance companies and broker. Maintain overview of all employee benefits. Compensation and benefits support.

  • Prepare HR Personnel Reports and other statistical information for internal and external use.

  • Conduct or assist with new employee on-boarding process by completing benefit forms, answering questions regarding policies and procedures and providing payroll with information on new employees.

  • Collaborate closely with the Payroll department by providing information on employee transactions and work closely with the HR Shared Service Center (HRSSC) and HRIS team.

  • Work closely with various internal stakeholders such as Finance, EH&S, Security and Building Facilities, Total Reward, Talent Management, …

  • Act as first point of contact for the administration with interim agencies

  • Own some HR processes like time credit, educational vacation, holiday counters from A to Z. Ensure right approvals are gathered.

  • Provide management with information regarding pay increases and pertinent reports.

  • Validation at frequent level of synchronization of various systems like payroll and SAP HRIS by taking ownership of the SAP data accuracy and working closely with the HR Generalists.

  • Look for continuous improvement in various HR processes.


  • Ensure to appropriately handle confidential and sensitive information. Experience in handling such information is preferred.

  • Experience in working in an international environment with various stakeholders globally.

  • Have excellent written and verbal communications skills and demonstrate strong interpersonal skills in effectively dealing with employees at all levels of the organization.

  • High level of sense for data accuracy.

  • Effectively manage multiple priorities.

  • Have a high level sense for taking initiative and be able to work effectively without constant, direct supervision.

  • Strong computer skills : Word, Excel, Powerpoint, Outlook, easy to learn new computer software

  • Language skills: Dutch, English

  • Good knowledge of Belgian social legislation
